What should a rent receipt include?
New York Real Property Law section 235-e names four things: the date, the amount, the identity of the premises and the period paid for, and the signature and title of the person who received the rent. Those make a sound checklist anywhere. This template adds the tenant's name, how they paid, a receipt number and any balance.
Do landlords have to give rent receipts?
It depends on the state. New York requires a receipt for rent paid in cash or by anything other than the tenant's personal check, and for personal checks when the tenant asks in writing. California's Civil Code gives anyone paying a debt the right to ask for a written receipt. Check your own state's landlord and tenant rules.
New York also says the landlord must keep a record of cash rent receipts for at least three years, and give the receipt straight away for rent paid in person, or within 15 days when it arrives another way.
How do I fill out a rent receipt?
Enter your name, the tenant and the property with its unit. Set the date received and the period the rent covers, then the rent due, any late fee and the amount actually paid. Choose how they paid and add a check or money order number. Type your name and title, download the PDF and sign it.
- Type the landlord, the tenant and the property straight onto the receipt.
- Set the period and the date received.
- Enter the rent, any late fee and the amount received.
- Add your name and title.
- Press Download PDF, then sign it.
How do I write a receipt for a partial rent payment?
Enter the full rent for the period and the amount you actually received. The receipt shows both and the balance still due, and leaves out the paid-in-full mark. For example, $1,000 received against $1,450 rent with a $50 late fee shows $500.00 still due. Add a note with the date the rest is expected.
For a deposit or other payments that are not rent, use the general Receipt Maker.
