Bill of Sale

Write down a private sale: who sold what to whom, for how much and when. Pick a car, a boat or any other item, type the details right on the bill of sale and print two copies to sign.

What should a bill of sale include?

The date of sale, the names and addresses of the seller and buyer, a description of the item, the price and how it was paid, and both signatures. For a vehicle, add the year, make, model, VIN and odometer reading. Saying the item is sold as is, with no warranty, avoids arguments about its condition later.

  1. Choose Car or other vehicle, Boat or Any other item.
  2. Type the seller and buyer on the bill of sale.
  3. Describe the property; for a car, the VIN and odometer.
  4. Enter the price and how it was paid, or tick gift.
  5. Download the PDF, print two copies and both sign each one.

Does my state have its own bill of sale form?

Some do. We opened each form below on the state's own website on October 12, 2026. If your state is listed, its motor vehicle office may prefer its own form for a title transfer, so use it there. Other states accept any bill of sale with the right details, which this template gives you.

On the sites we could open, Alabama, Alaska, Delaware, the District of Columbia, Kentucky, Mississippi, New Jersey, North Carolina, Pennsylvania, Texas and Virginia publish no general vehicle bill of sale form.

Do I need the odometer statement when selling a car?

Usually, yes. Federal rules say the seller must disclose the mileage to the buyer on a transfer of ownership. Model year 2010 and older are exempt once 10 years old, but model year 2011 and newer stay covered until they are 20 years old. So in 2026, a 2011 car needs it and a 2010 car does not.

The statement on the template follows the federal wording: the reading, whether it is the actual mileage, and the warning that a false statement may bring fines or imprisonment. Your state's title may have its own odometer box too; fill that in as well.

Does a bill of sale need to be notarized?

Only where a state says so. West Virginia's DMV says its bill of sale must be notarized, Louisiana's Office of Motor Vehicles asks for a notarized bill of sale, and Oklahoma's electronic-title bill of sale needs a notary. Where no rule applies, two signed copies are the usual record. Tick Add a notary block if you need one.

What does sold as is mean?

It means the buyer takes the item in its present condition, with no promise from the seller about defects. The template words it as no warranty of any kind, express or implied, and says the buyer had the chance to inspect it. Untick the box if you are giving a warranty, and write its terms in Other terms.

Limits

  • Not legal advice, and not a title transfer: the title still has to be signed over the way your state requires.
  • US-focused wording and federal odometer rules; other countries have their own forms.
  • No firearms or real estate. Those sales have their own legal rules and forms.

Frequently asked questions

Is it free?

Yes. No sign-up, no watermark, no limit.

Can I use it for a gift?

Yes. Tick This is a gift, and the price line changes to a gift with no payment.

What if the VIN check fails?

Check the VIN on the title and on the car for a typo, such as O for 0. Vehicles built before 1981 and some imports have no check digit.

Who keeps the bill of sale?

Both. Print two copies, sign both, and each person keeps one.
